Privacy Policy

Last updated: October 8, 2026

This Privacy Policy explains how IAPA, as the organizer of the Comparative Public Management & Governance in the Artificial Intelligence Era conference ("ICPMG 2026", "the Conference"), collects, uses, stores, and protects the personal data of individuals who register, submit papers, or otherwise interact with this website (the "Portal"). By creating an account or using the Portal, you agree to the practices described here.

1. Information We Collect

  • Account information: full name, email address, phone number, and password (stored in encrypted/hashed form).
  • Registration details: participant category (e.g., Presenter, General Participant), ticket/pass selection, and related booking information.
  • Payment information: proof-of-payment documents you upload (bank transfer receipts or similar), and payment status data received from our payment processor. We do not store your full card or bank account credentials — card payments, when enabled, are handled directly by our payment partner.
  • Call for Papers (CFP) submissions: abstracts, full papers, and revision files you upload, together with review status and reviewer feedback.
  • Certificates: data needed to generate and verify attendance/presenter certificates (e.g., name, certificate number).
  • Technical data: session cookies, CSRF tokens, and your selected display language, used to keep you logged in and the site functioning correctly.
  • Communication: emails we send you regarding your registration, payment, paper status, schedule, or certificate.

2. How We Use Your Information

We use your information to:

  • Process your registration, ticket/pass purchase, and payment verification.
  • Manage the Call for Papers process, including assigning reviewers and tracking revisions.
  • Send you confirmations, updates, and certificates related to the Conference.
  • Verify your identity at the venue and issue an accurate certificate of participation.
  • Maintain the security and proper functioning of the Portal (e.g., preventing abuse, rate-limiting, fraud checks).
  • Comply with applicable law and respond to legitimate requests from authorities.

We do not sell your personal data to third parties, and we do not use it for purposes unrelated to the Conference without your consent.

3. Who We Share Your Information With

  • Payment processor (Xendit): to generate invoices and confirm payment status. Xendit processes payment details directly and under its own privacy policy.
  • Cloud file storage provider: payment proofs and paper files are stored on secure object storage, accessible only to authorized reviewers/administrators.
  • Email delivery service: used solely to deliver transactional emails related to your registration.

We do not share your data with any other third party for marketing purposes.

4. Data Retention

We retain your personal data for as long as necessary to fulfil the purposes described above, including the period required for post-conference administration (e.g., certificate re-issuance, dispute resolution), and as required by applicable law.

5. Your Rights

Subject to applicable law — including Indonesia's Personal Data Protection Law (Law No. 27 of 2022) — you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data, subject to our legal/administrative retention needs.
  • Withdraw consent where processing is based on consent.

To exercise these rights, contact us using the details in Section 9.

6. Security

We apply reasonable technical and organizational measures to protect your data, including encrypted password storage, access controls on uploaded files, and secure data transmission (HTTPS). No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Changes to This Policy

We may update this Privacy Policy from time to time. The "last updated" date above reflects the latest revision. Material changes will be communicated via the Portal or by email where appropriate.
